Most Frequently Asked Questions

1.         I forgot my PIN number – how can I get it??

Your office manager has a list of all employees and their PIN and Employee ID numbers.  You can also call the SEMS system at 253-945-2200 and do not enter your PIN number, WAIT for further instructions.  It will ask for your employee ID number and then it will tell you your PIN number.

2.         I need my Employee ID number, where can I go to get it?

Your office manager will have the employee ID and PIN numbers.  Employee ID numbers are also listed on your payroll stubs.

3.         Can you give me a particular sub's phone number?

Your office manager will have a current list of subs for the FWSD.  If you want them to sub in the future, you will need to contact them at the phone number that is listed for them and that is usually a home phone number.

4.         Can you tell me where a particular sub is working today?

Your office manager will have a list of the most current subs phone numbers and they will need to be contacted at their home number.

5.         I am an employee, may I sub in my off time and how can I do this?

E-mail CJ with this request and include your current working hours.  If you only want to sub at your current school please state that in the e-mail.  You will be required to register with SEMS and get a sub PIN number.  You can keep yourself "blocked" from calls until your school needs you to sub, then you will need to unblock yourself in order to take work and get a job number and then your can "re-block" yourself.  CJ cannot remove the block in order for you to take work and get a job number.

6.         How can I change my last name on the SEMS automated system?

Call the SEMS line at (253) 945-2200 and do not enter your PIN number, WAIT FOR FURTHER INSTRUCTIONS.  Follow the prompts and it will allow you to re-voice your name.

7.         If I resign/retire can I sub and not register with the automated system, because I do not want the system to call me?

Anyone that wants to sub for the FWPS is required to register with the SEMS automated system before they may begin to sub - No Exceptions.

8.         How can I modify a job I entered into the SEMS automated system when it will not allow me to make changes?

If the job has already started you will not be able to make any changes in that same job.  You will need to cancel the original job and re-enter a new job.

9.         Can I go back into the SEMS automated system after I created my absence and enter in special voice instructions?

No, special instructions can only be entered at the time the absence is being created.  What you can do is check to see if a sub has picked up the job and call them with special instructions. If a sub has not yet picked up the job you can cancel that original job and create another that includes special verbal instructions.

10.       How can I tell if a sub has picked up my job?

Review your absences either on the WebCenter or pick up the phone and review your profile in SEMS automated system.

11.       How do I log on to the WebCenter to enter an absence?

The web address for the WebCenter is:  https://subweb.fwps.org

Once you are online, use your employee ID number (without the leading) as your User ID number, and your PIN number is the same as the one you use to get into the SEMS automated system.  Your office manager has a current list of all employees and their employee ID and PIN numbers.  If you need assistance, this is the person you go to.  The sub desk does not give out employee ID or PIN numbers.   Follow the prompts and it will allow you to enter your absence and give you a job number.   If you have verbal or text instructions, please also leave a hard copy at the school for the sub.  Not all subs have access to a computer and may not be able to read your special instructions, but all subs do have a telephone.  Employees that are not registered through the telephone SEMS automated system will not be able to access the WebCenter.

12.       I have a jury summons and now what do I do?  What absence code number do I use? 

It is advisable to give a copy to each principal and office manager once you receive your summons.  Please send Cj Carter, Substitute Coordinator, an email or fax a copy to Cj at (253) 941-7576, as this has the potential need for a long-term substitute.  The absence reason for jury duty is #11.  After advising your school of the summons, please enter an absence for each day you will be gone and get a job number.  If a sub is not needed, please indicate this on the SEMS/ WebCenter.

13.       How do I make changes on a job that I have entered into the system?

If the job has not yet started you can go into the WebCenter and make modifications.  If the job has already started you will not be able to make any changes.  You can only cancel the original job and re-enter a new job with the correct information.  You also have the choice of canceling the original job and re-entering it with the corrections.  If your job was created in WebCenter your modifications need to be made in WebCenter. Your Office Manager will be able to assist you should you need to change the reason code.
